Enrollment Operations & Engagement Manager
DESCRIPTION OF JOB:Â Â Â Â
The Enrollment Operations & Engagement Manager provides independent operational, analytical, and technical leadership for enrollment operations, data integrity, and CRM processes supporting graduate enrollment and the prospective and current student experience. The position analyzes enrollment data and operational processes, identifies discrepancies and opportunities for improvement, determines appropriate solutions, and develops, implements, and evaluates procedures that improve accuracy, efficiency, communication, and service across enrollment functions.
The position serves as a subject-matter resource for Slate CRM and related enrollment systems and exercises independent judgment in evaluating workflows, resolving complex data and process issues, establishing operational procedures, and implementing CRM workflow and configuration changes. The position conducts ongoing audits and quality assurance activities to identify data inconsistencies, process gaps, and operational risks and takes appropriate action to resolve issues or recommends changes to impacted departments.
The Enrollment Operations & Engagement Manager independently leads and implements projects involving enrollment data, CRM workflows, communications, admissions processes, events, and related operational functions. The position collaborates with Admissions, Graduate Enrollment, Registrar, Advising, Marketing, and other departments to analyze business needs, advise on processes and system functionality, develop solutions, and ensure consistent application of enrollment policies and procedures.
The position is responsible for identifying opportunities to improve enrollment operations through automation, workflow redesign, reporting, documentation, training, and CRM enhancements. The individual exercises discretion in determining appropriate operational approaches and provides guidance and recommendations to leadership and campus partners. The position may also supervise, train, and delegate work to student employees supporting enrollment operations and data processes.
Responsibilities:
Enrollment Data Analysis, Integrity & Quality Assurance
- Analyze enrollment data and processes to identify discrepancies, data integrity issues, trends, and opportunities for operational improvement. Determine appropriate methods for researching and resolving discrepancies between the student information system, CRM, and other enrollment data sources.
- Develop and conduct recurring audits and quality assurance processes for enrollment records, including change-of-status records, deferrals, BWER comparisons, decisions, enrollment management imports, and other enrollment data processes. Determine appropriate corrective actions and coordinate with impacted departments when issues require cross-functional resolution.
Process Development & Continuous ImprovementÂ
- Evaluate existing enrollment processes and independently identify opportunities to improve accuracy, efficiency, communication, and consistency. Develop, document, implement, and evaluate new procedures and workflows based on identified operational needs.
- Analyze unique or non-standard enrollment situations and determine appropriate processes for tracking, documenting, and resolving them. Develop step-by-step guidance, procedures, and recommendations for Admissions, Graduate Enrollment, Registrar, Advising, and other impacted departments.
CRM Workflow & Systems ManagementÂ
- Serve as a subject-matter expert and operational resource for Slate CRM and related enrollment systems. Analyze business and enrollment requirements and independently determine appropriate CRM workflow, configuration, automation, reporting, and process solutions.
- Design, implement, test, document, and maintain CRM workflow changes and enhancements that support enrollment operations. Evaluate the impact of system changes on data integrity, communication, reporting, and downstream processes and make recommendations for improvements.
Enrollment Communications, Campaigns & EventsÂ
- Manage and evaluate automated communication series, event promotion, campaigns, and related CRM functions. Analyze communication and event processes to identify opportunities for improved timing, accuracy, consistency, and student engagement.
- Manage and update designer templates, mailings, content blocks, components, hyperlinks, and related CRM functionality while ensuring alignment with established enrollment processes and communication requirements.
CRM Data Governance & AuditingÂ
- Establish and maintain data entry standards and operational procedures within the CRM. Import and validate data files, audit existing records, investigate data discrepancies, and determine appropriate corrections.
- Manage Slate inboxes and groups as a superuser and audit inbox rules, assignments, and workflows to identify issues and ensure appropriate routing and processing.
 Enrollment Operations & Record ProcessingÂ
- Oversee operational processes related to transcript downloads, assignment of transcripts and other application materials, daily record audits, admission decisions, deferrals, changes of status, and other enrollment-related records.
- Analyze recurring issues within these processes and independently recommend and implement procedural improvements to increase accuracy, reduce manual work, and improve processing consistency.
Cross-Departmental Advising & Collaboration
- Serve as an operational resource and advisor to departments involved in enrollment processes. Analyze departmental needs and recommend solutions related to CRM functionality, data processes, student records, communications, workflow, and reporting.
- Proactively communicate identified issues, risks, and recommended solutions to appropriate stakeholders and facilitate implementation of agreed-upon process or system changes.
Training, Documentation & Knowledge ManagementÂ
- Develop and maintain training materials, tutorials, process documentation, and other resources to promote consistent use of enrollment systems and procedures.
- Provide training and guidance to staff regarding CRM functionality, enrollment processes, data standards, and newly implemented workflows. Identify recurring training or process issues and develop resources to address them.
Graduate Enrollment Website & Content ManagementÂ
- Manage, update, and audit graduate website content and documents distributed in support of admissions, enrollment operations, and events. Identify discrepancies or outdated information and coordinate appropriate updates with relevant stakeholders.
- Serve as liaison to applicable ºìÐÓÊÓÆµ departments supporting international/Rest of World students and related enrollment processes.
Student Employee Supervision & Work DelegationÂ
- Supervise, hire, train, assign, and evaluate student employee(s) supporting enrollment operations and data processes. Determine appropriate work assignments based on operational priorities and quality requirements and monitor completed work for accuracy.
JOB QUALIFICATIONS
Necessary Education or Work Experience:
- Bachelor’s degree (preferred)
- Experience with enrollment operations, admissions, student information systems, CRM administration, data analysis, or a related field.
- Experience independently managing projects, processes, or system improvements preferred.
Required Knowledge and Skills:
- Advanced working knowledge of CRM systems, particularly Slate, and student information systems such as Jenzabar.
- Ability to analyze complex enrollment data and identify discrepancies, trends, and process issues.
- Ability to independently evaluate processes and determine appropriate solutions.
- Ability to develop, document, implement, and evaluate operational procedures.
- Ability to conduct audits and quality assurance activities.
- Ability to analyze business needs and translate them into CRM workflows and system solutions.
- Strong problem-solving and critical-thinking skills.
- Strong communication and presentation skills with the ability to advise and collaborate with multiple departments.
- Ability to work independently while effectively coordinating with others.
- Ability to organize and prioritize multiple projects and changing deadlines.
- Strong attention to detail and ability to manage confidential student information.
- Ability to train and provide guidance to staff and student employees.
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Ability and willingness to learn and implement new technologies and systems.
